Our goal is to provide a safe, secure, and welcoming environment for every child and family. To ensure the safety of all children in our care, Village Kids uses the Church Center check-in system for all programs.

This system allows us to securely register children, track attendance, and ensure that every child is picked up by the correct guardian.

Check-In Procedures

1. Secure Check-In

All children must be checked in through the Planning Center Check-Ins system before entering their classroom. Check- In stations are located on the east side of the main foyer, and in the Village Kids foyer. 

When a child is checked in:

• A name label is printed for the child and is to be placed on the child. 
• A security label is printed for the parent or guardian, to be kept by until pick- up. 
• Both labels contain a matching security code used during pick-up.

Children will only be released to the adult who presents the matching security label.

2. Self Check-In Through the App

For convenience, parents may check their children ahead of time using the Church Center app.

This allows families to:

• Skip check-in lines
• Quickly print labels when they arrive by scanning a QR code

3. Security and Privacy

Our check-in system is designed with child safety and privacy in mind.

Parent security labels do not display sensitive information such as:

• Child classroom location
• Contact information
• Personal family data

This ensures that important information is not visible to others in public areas.

Check-Out Procedures

1. Security Label Required

To maintain a secure environment, the adult picking up the child must present the parent security label that matches the code on the child’s name label.

Our volunteers will match the codes before releasing the child.

2. Lost Security Label

If a parent loses their security label:

• The parent must go to the check-in desk
• A staff member will verify identity
• Staff may request photo identification before releasing the child

This policy ensures that children are only released to authorized adults.

3. Authorized Pick-Up

Only adults listed by the family in the check-in system may pick up a child unless prior arrangements have been made with ministry staff.
